College chatbot systems are rapidly emerging as valuable tools in educational environments, offering students, faculty, and staff immediate support and guidance across a wide range of academic and administrative challenges. This research paper presents a detailed case study on the design, development, and deployment of a college chatbot leveraging the Microsoft Azure cloud platform, which integrates advanced Natural Language Processing (NLP) techniques to understand user queries and deliver accurate, context-aware responses. The study explores the end-to-end process of creating such a system, from requirement analysis and system design to implementation and real-time operation, highlighting how these chatbots can streamline communication, improve access to information, and enhance the overall campus experience. Additionally, the research examines the practical challenges encountered during development, including language understanding limitations, response accuracy, and integration with existing institutional systems, while also identifying the potential for future improvements and wider adoption in educational contexts. The chatbot is specifically tailored to meet the needs of its users, ensuring timely, relevant, and efficient assistance for academic inquiries, administrative procedures, and general campus-related concerns, demonstrating how intelligent automation can support and augment traditional campus services.
